The Academy and your agreement

Hong Kong AI Film Academy Limited is the service provider. Contact the Academy through the Support page at hkaifa.academy/support. These Terms, the Privacy Policy and the specific course offer or signed enterprise agreement describe the services you receive. Before accepting a paid offer, you can review and save its scope, schedule, fees, cancellation arrangements and rights provisions. A specific signed agreement governs its expressly identified matters; mandatory legal protections continue to apply.

Accounts and eligibility

Use an email address you control and provide accurate information about your own work and authority. Protect your sign-in codes and tell us promptly if you suspect unauthorised access. Standard self-service participation is for adults aged 18 or above. Participation by a younger person requires arrangements agreed with the Academy and an authorised guardian before enrolment. An organisational representative must have authority to act for that organisation. Accounts and admission decisions must not be transferred without approval.

Research topics and course formation

A published research topic describes a question being explored. A topic may move through research, pitching, team formation, production, review and archiving. The course offer identifies the confirmed lead, delivery team, resources, dates, required participation and conditions for starting. Research can produce findings that challenge the original hypothesis. A negative finding does not by itself constitute non-delivery when the agreed research and evidence have been provided.

Registration and learning profiles

Review the published tuition, dates, services and terms before registering. Public registration does not require an admission review. Submit your registration and complete payment to confirm your place and open the course workspace. Registration closes when capacity is reached; unpaid reservations expire. Optional experience and challenge answers help organize learning groups and do not determine admission. Staff may authorize additional or funded places with a recorded reason. Payment or participation alone does not establish a verified contribution, qualification or award.

Course offers and payment

A place is confirmed through the acceptance and payment conditions in your offer. The order shows the amount, currency, included services and any applicable taxes or additional costs before you commit. Payment is processed by the payment provider identified at checkout. The Academy does not collect full card details. A redirected browser page is not the sole payment record; your order status and receipt identify the confirmed transaction. Tuition pays for the stated participation services and is separate from any ownership or investment arrangement.

Course delivery and participant responsibilities

Participate in the agreed sessions, meet reasonable milestones and respect the team’s confidentiality and conduct rules. The Academy provides the resources and support specified in the offer. Travel, accommodation, equipment, subscriptions and compute are included only when the offer says so. Notify the lead when a delay or access issue affects your work. Scope changes that materially affect price, timing, responsibilities or rights require a recorded agreement; they are not imposed by editing a webpage.

Existing rights and new work

Your existing materials remain subject to their existing ownership and licences. Participation alone does not transfer a script, image, voice, likeness, workflow, character or world to the Academy or a sponsor. Before collaborative production, the team records contribution expectations, background materials, new-work rights, permitted uses and credit arrangements. Where rights depend on a separate agreement, no unstated blanket assignment arises from these Terms. See Rights & Credits for the detailed process.

Limited operational permission

You permit the Academy and authorised personnel to handle submitted material as necessary to assess your application, provide the agreed course, review work and maintain the agreed records. Access is limited by purpose and role. Public promotion, commercial licensing, complete-work distribution, voice or likeness synthesis and model training require their own appropriate authority and scope. A private upload is not permission for those uses.

AI tools and third-party services

A course may use tools supplied by third parties under their current terms. The course team identifies relevant access, budget and material-handling requirements. Do not upload confidential or third-party material to an external tool without authority for that disclosure and use. Record material model versions, sources and human decisions when required for verification. Outputs can be inaccurate or unsuitable and require the review appropriate to their intended use.

Experience records and verification

The archive distinguishes submitted claims, participation records and independently reviewed contributions. A verified record states its topic, role, scope, evidence, level within that domain, issue date and current status. It is an Academy record of the stated experience; it is not automatically an academic degree, statutory licence, immigration credential or guarantee of employment, income, legal title or suitability for every role. Fees do not purchase a favourable assessment.

Public archives and INDEX

You control whether your eligible archive records are publicly visible. Published facts may be viewed internationally and copied by recipients. The Academy can correct, supersede or revoke a record where the evidence justifies it, while preserving a proportionate audit history. INDEX records retain their own issuer, identifier, version and status. An association with an INDEX asset does not confer its ownership or commercial permissions. Cross-service identity or data association requires the relevant authorisation.

Enterprise research and funding

Commissioning, sponsorship, technology contributions, production development and investment discussions are separate arrangements. Their written scope identifies deliverables, funding milestones, acceptance, confidentiality, credits and rights. Sponsorship does not control independent evaluation or entitle a sponsor to personal records or private evidence. Expressing investment interest creates no investment allocation, guaranteed return or authority for the Academy to hold investment funds. Any actual investment uses a separately agreed lawful structure and responsible parties.

Changes, withdrawal and refunds

The Cancellation & Refund Policy forms part of these Terms. If we cancel a course or materially change a confirmed essential condition, affected participants receive direct notice and the remedies applicable to the unprovided service. A participant may request withdrawal through their account. Applicable mandatory consumer rights are not waived.

Conduct, suspension and complaints

The Community Standards govern collaboration. We may restrict access proportionately to address a credible security, rights or conduct issue. Except where immediate protection is reasonably needed, we provide the substance of the concern and an opportunity to respond. Contact Support for a complaint or appeal and identify the relevant decision or record. A complaint is reviewed by an appropriate person who was not solely responsible for the disputed decision.

Availability and responsibility

We take reasonable steps to maintain the service and protect information. Interruptions may require rescheduling, restoration or an alternative delivery route. Each party remains responsible for its own commitments and conduct. These Terms do not exclude liability that cannot lawfully be excluded, require you to indemnify unrelated losses, or remove statutory remedies. The Academy does not promise that a research result will achieve commercial success.

Law, disputes and revisions

Hong Kong law governs these Terms, subject to mandatory protections applicable to you. The parties first seek a documented resolution through Support; Hong Kong courts have non-exclusive jurisdiction. Changes apply from their stated date. Material changes affecting an existing paid commitment are notified and handled under that commitment; they do not retrospectively enlarge permissions. All language versions use the same version identifier. We will clarify any material inconsistency fairly and preserve rights under applicable law.
